Our Process

Step One: When you submit an inquiry, Alyssa, our Wedding Specialist or Meghon, our Owner will respond to your inquiry and say congratulations, thank you and hello!

Step Two: To kickoff the process, our team will share an in-depth questionnaire to collect all the exciting details surrounding your big day, or big multi-day celebration! This document can be overwhelming in the early planning stages, but we suggest filling it out with as much detail as possible. If you don't have all the information, that's fine - we only need the basics. Alternatively, we can schedule a phone call to go through the questionnaire with you. If you're working with a full-service planner, they may have your needs already outlined and can send us the necessary information for a proposal. We're happy to work directly with planners, we do it all the time.

We’ll take the information we have gathered from you to create a proposal based on your vision, investment level, and needs.

Step Three: Alyssa will set up a time to chat with you and your wedding planner (if you have one) to review the proposal and answer any questions that you might have

Step Four: To reserve our services, we require a 25% non-refundable retainer and a signed contract based on the proposal. While the proposal can be adjusted upwards as needed, it must meet our minimum requirement for the event location and cannot decrease by more than 10% from the booking total. We recommend booking as soon as possible to secure your spot as our calendar fills up fast (we hate it when too much times goes by and we are no longer available). If you're unsure of your needs, we offer the option to secure us for your wedding day with a contract based on our minimum for your venue, finalizing the details later.

Step Five: Hooray! We're thrilled to be your wedding partner and bring your vision to life. Our wedding specialist, Alyssa, will connect with you to set up a design meeting, which can be done via phone, Zoom, or in-person. If you have a wedding planner, they are often involved in this process. We'll curate a beautiful design board with sample florals and color palettes. For an elevated planning experience, visit our shop to view flowers and designs in person for an additional fee. We're also available to come to your venue, tastings, design meetings, walk-throughs, and more at an additional fee. 

Final design details, numbers, and changes are due to us 45 days prior to your event, with your final payment due 30 days before the event. Timelines, final seating charts, and room layouts are due two weeks before your wedding. Bridal party location for personal piece delivery is due one week prior. Occasionally, this information isn't available until you check into your hotel—that's fine, just let us know where to find you when you have it figured out.

OUR PROCESS

Our custom pricing for elopements and micro weddings reflects each client's unique needs and vision, and these orders are typically available for studio pickup only. Full-service weddings start at $6,500 for locations within an hour of Truckee, CA, and $8,500 for locations beyond that range, with the average cost ranging from $9-15k. Yes, you can visit our studio as a regular customer during our open shop hours. Wedding meetings and consultations are available by appointment and only after booking. Please note that our studio shop staff are unable to answer wedding-related questions for walk-ins.

We exclusively offer premium seasonal blooms for your wedding. While we strive to fulfill your requested flowers, we cannot guarantee specific floral types since flowers are delicate, living, and seasonal. If substitutions are made, we'll use items of equal value and similar style to your request. Beforehand, we'll provide you with a general list of flowers based on the time of year, color palette, and wedding vibe. Requesting specific flower types may increase your floral costs, so flexibility with overall selection while remaining within your color palette and style is ideal.

Yes, our team is happy to travel! If you're seeking services outside the Tahoe/Truckee area, please email Meghon@loveandlupines.com for more information. Weddings outside our region require a minimum investment of $15k, excluding travel expenses. We enjoy visiting various locations, including Napa, Sonoma, Monterey, Santa Cruz, Mendocino, Carmel, Maui, and Kauai. We're always eager to explore new spaces and challenges, and are happy to travel anywhere.

Yes, we are fully insured! We have our insurance certificate on file with the following venues, as we are preferred vendors at each of these locations and we update them to be named insured yearly: The Ritz Carlton Tahoe, Northstar Resort/Vail Corp, Palisades Tahoe, Everline Resort & Spa (formerly Resort at Squaw Creek), The Hyatt Lake Tahoe, and Edgewood Lake Tahoe. If you have a venue that requires us to list them as a name insured, please let us know, as we are happy to add them for your event. We also have workers’ compensation and commercial vehicle insurance for our fleet of cargo vans. We do recommend that you purchase event insurance for your own personal coverage.

Flower Sourcing and Wedding Workflow

Once you have booked your process, our team at Love & Lupines gets to work. Here is a look behind the scenes on how we source flowers, our wedding workflow and what happens to the flowers after your wedding.

Flower Sourcing

We source our blooms from local area farms eight to nine months out of the year. This enables us to collaborate directly with farmers and obtain the freshest flowers possible. This approach also allows us to procure unique flower varieties that are not commercially available, reduces our carbon footprint and waste, and supports other local small businesses. We're thrilled to partner with farms such as Sweet Roots Floral, Soil Sisters Farm, Little Boy Flowers, Hobo Ranch, and Sweet Robin Flower each season. These skilled farmers create absolute magic and it's an honor to know and work with each of these talented ladies and their teams.

Flower Sourcing (continued) 

If we're unable to source farm flowers or have specific requests for flower types not grown by our partner farms, we have the pleasure of working with California wholesale legends Torchio Nursery. This family is an original San Francisco flower market vendor who works tirelessly to provide their customers with the best of the best. Sourcing local is also important to them and they work with a number of incredible flower farms throughout California. Dustin from Torchio takes great care of us and his team hand-delivers our orders from San Francisco to our shop in Truckee each week. This is another partnership we are very grateful for.

We also collaborate with Natalee at Bonanza Floral, a Sparks, NV-based company that has specialized in fresh produce and flowers since 1968. They work diligently to help us source everything we need throughout the year, and we're grateful for their partnership. Additionally, for tropical florals, we work directly with Maui Floral, a fantastic company based in Maui. We have a fantastic relationship with them, and visiting their location is one of our owner's favorite things to do. Working with people we know, trust, and love is essential to us, as these fantastic businesses help us take care of you, bringing your floral vision to life.

Upon Flower Arrival

Flowers arrive at the shop on Tuesdays and Wednesdays for processing, which involves checking the quality of each stem, removing leaves and thorns, and trimming the bottom of each stem to allow for full hydration. Some stems must then be boiled and treated with alum or seared on the bottom to extend their life and keep them extra fresh. Some sensitive blooms require extra wiring and taping to support their stems. After processing, the flowers are separated by wedding/event and then go into one of our large walk-in flower coolers. Our team then spends the rest of the week turning these blooms into lush, creative designs.

Event Day Load Up

On wedding/event days, completed designs and hard-good rentals must be strategically packed into crates and boxes so that they can safely make it to their destination. We use a variety of methods to ensure everything makes it from point A to point B. If it is a hot day, additional hydration methods are used to keep the flowers happy from the time they are pulled out of the cooler until they are added to their final place at the wedding. If it’s a cold day, each piece must be insulated and protected from freezing until they reach their final destination. Knowing how flowers behave in the elements is an important part of the delivery process and a bonus you get when hiring a local experienced florist.

Arrival at Venue

On the wedding day, our team delivers the personal pieces to the wedding couple first, ensuring that all bouquets, boutonnieres, and other items are hand-delivered and given a final spray of water. We aim to arrive at the venue within ½ hour of the photographer's arrival time for detailed photos and "first look" photos if applicable. Afterward, we set up the ceremony space, including our arch and any rental items, which takes 1–6 hours per team member and 2-6 team members depending on the complexity of the set-up. We then proceed to set up the cocktail hour and reception spaces, with additional team members assigned to handle large installations such as hanging décor. If needed, we offer a service to repurpose items from the ceremony to the reception space for an additional fee. Our goal is to complete set-up 30–45 minutes before the ceremony's start time to avoid disruption and provide ample time for detail shots. For extensive installations, we may begin the day before with mechanics to get a head start.

After the Wedding

Our team returns to the venue the following morning, or in some cases the same evening after the party ends, to break down, clean up, and take away all floral items, including rentals, which are then brought back to our shop. Flowers are separated from vases and arch/install pieces, and usable flowers are trimmed and donated to The Send It Foundation, a local non-profit helping cancer patients. These flowers are then taken to the Truckee Cancer Center, while any flowers and greens that can't be donated to them are given to local schools and neighbors. Flowers in unusable condition are composted, while chicken wire and other reusable items are recycled for future use, and cardboard and other recyclables are recycled to minimize waste. Finally, hard goods are cleaned and put away. We prioritize the use of rental vases, candles, arches, and other items to minimize waste and provide a consistent product for our clients. Sharing the joy of flowers with our community is a true gift and brings us so much happiness!
